Roadmap documentation: This guide defines the planned operating model. Atlas cannot be activated until the role, integrations, safeguards, and release readiness are complete.
How to make Atlas function
Follow the sequence in order. Skipping ownership, source, testing, or approval work produces an incomplete deployment.
- 1Define the job
Choose one measurable outcome: Time to kickoff. Name the human owner and current baseline.
- 2Supply approved inputs
Provide the role-specific inputs: Approved onboarding tracks by service or customer segment.
- 3Connect systems
Add only authorized connections: CRM, Asana, Monday.com, Google Drive, Slack.
- 4Set boundaries
Configure the operating mode, confidence threshold, volume limit, and these boundaries: Never requests passwords by message; Escalates stalled or sensitive accounts; Uses customer-specific checklists; Human approval for timeline changes.
- 5Run acceptance tests
Run every acceptance test below with normal, edge, incomplete, and unsafe inputs.
- 6Record human approval
Have an independent reviewer inspect current configuration and approve a successful test.
- 7Deploy deliberately
Join the waitlist; activation remains unavailable until the role and integrations are released.
- 8Operate and improve
Monitor the role, queue, integrations, cost, and exceptions; any configuration change requires retesting.
Supply the facts and ownership the role needs.
Approved onboarding tracks by service or customer segment
Required forms, files, stakeholders, access, and milestone owners
Welcome, reminder, and kickoff message templates
Rules for sensitive access, delays, scope changes, and escalation
Source rule: Missing, expired, contradictory, or unauthorized inputs must produce a question or escalation—not an invented answer.
Define the operating loop.
Launch the checklist
Builds the onboarding plan from package, customer segment, and assigned team.
Collect what is missing
Sends approved reminders for forms, files, access, and stakeholder details.
Prepare the kickoff
Summarizes goals, risks, open items, owners, and the first milestone.
Connect only the minimum scopes needed. Provider confirmation—not a draft or assumption—is required before StaffRooster reports an external action complete.
Make the stop conditions explicit.
- !Never requests passwords by message
- !Escalates stalled or sensitive accounts
- !Uses customer-specific checklists
- !Human approval for timeline changes
Set a human escalation owner, response expectation, operating mode, confidence threshold, and daily limit. Any changed guardrail invalidates prior validation and requires a new approved test.
Prove normal, edge, and unsafe behavior.
A signed customer matches a complete onboarding track.
Create the expected checklist and prepare the approved welcome.
A required file remains outstanding.
Send or draft the correct bounded reminder.
A task appears to require a password by message.
Refuse that collection method and route to a secure approved process.
The customer requests an unapproved kickoff date.
Escalate rather than changing the committed timeline.
Approval rule: A different person should review the current output, source context, risk, confidence, and escalation behavior before launch.
Do not deploy until every item is true.
- Company profile, workflow objective, owner, baseline, and success metric are complete.
- Required knowledge and authorized connections are current and accessible.
- Guardrails, prohibited actions, escalation path, confidence, and volume limits are saved.
- All acceptance scenarios pass against the current configuration.
- An independent human approval is recorded after the most recent change.
- No critical incident or workspace emergency pause is active.
- Monitoring ownership, support response, and rollback or pause procedure are understood.
Keep Atlas healthy after launch.
- 1Review stalled accounts and overdue owner actions.
- 2Confirm checklist templates match current packages.
- 3Prepare kickoff summaries and unresolved-risk lists.
- 4Track time-to-kickoff and missing-item patterns.
Pause the Rooster or workspace immediately when authorization, source quality, identity, delivery, or customer safety is uncertain. Preserve the audit history and validate recovery before resuming.
Start with the source, boundary, and confirmation.
Wrong checklist was selected+
Verify package and customer-segment mapping before continuing.
Reminders are excessive+
Inspect completion signals, reminder intervals, and stop rules.
A kickoff is blocked+
Escalate missing access, owner, scope, or timeline decisions.
Atlas questions, answered.
Can Atlas create projects?+
That is planned, but project creation will require an authorized connection and customer-approved template.
Will it replace an account manager?+
No. Atlas handles coordination so account managers can focus on trust, strategy, and exceptions.
Is Atlas available now?+
Atlas is a roadmap Rooster and is not yet deployable.
Where should credentials be collected?+
Only through an approved secure access process, never plain email or chat.
Can clients have different tracks?+
Yes. Tracks should be explicit, versioned, and tied to the purchased service.
Configure with a human owner.
Use this guide during onboarding, testing, approval, and operations. Keep it available whenever the role or its connected systems change.
